Reporting and Insights in Cloutly

Cloutly makes it easy to measure, monitor, and act on your reputation performance with robust reporting tools. Whether you want a simple snapshot of your reviews each month or a deep dive into sentiment, trends, and multi-location performance, our reporting features give you everything you need to understand your customer feedback and make better business decisions.

📊 Two Types of Reporting in Cloutly

There are two key places where reporting lives inside Cloutly:

  1. Email & Downloadable Reports (Settings) – Simple, scheduled snapshots delivered straight to your inbox.
  2. Advanced Insights & C-Level Reporting (Growth Plan) – Deep, multi-location performance analysis, trend detection, and competitor benchmarking.

Let’s break down what each one does.

1. Reporting from the Settings Page (All Plans)

For quick, regular reporting, you’ll find everything you need in Settings → Notifications & Reporting.

Here, you can:

  • Schedule automatic email reports – Get weekly or monthly review summaries for all locations delivered straight to your inbox.
  • Download reports on-demand – Need data for a presentation or internal meeting? Click “Download Now” to generate a report instantly.
  • Set up notifications – Choose whether to be alerted about all new reviews, negative reviews only, lead capture submissions, or new users added to your account.

These reports provide a snapshot of your review performance over time, including:

  • Total reviews received
  • Rating averages and trends
  • Sentiment breakdown (positive vs. negative)
  • Platform-level performance (Google, Facebook, Tripadvisor, etc.)

It’s a quick, high-level way to keep track of how your reputation is evolving.

2. Advanced Reporting in Insights (Growth Plan Only)

For deeper analysis — especially across multiple locations — you’ll want to use Insights → Reporting.

This section gives you far more control over how you explore and export your data, with two primary reporting modes:

📈 C-Level Report (Multi-Location Summary)

The C-Level Report is a high-level, executive-style summary designed for leadership teams, franchise groups, and multi-location businesses. It aggregates performance across all locations and provides an at-a-glance overview of:

  • Total reviews collected
  • Rating changes over time
  • Sentiment trends and shifts
  • Top-performing and underperforming locations
  • Emerging positive and negative review themes
  • Key insights and recommendations for improvement

For example, your report might reveal that customers love your service but often mention long wait times — actionable insights you can address directly.

📥 You can download this report across any date range and share it internally, or set it up to be delivered automatically.

📍 Location-Level Reports (Franchise & Store-Level View)

If you manage multiple locations, you can also drill down into location-specific reports — perfect for operational reviews, franchisee meetings, or local marketing campaigns.

These reports include:

  • Review counts, average ratings, and sentiment data for that specific location
  • Source breakdown (Google, Facebook, Tripadvisor, etc.)
  • Detailed positive and negative trend analysis
  • Platform-by-platform rating changes over time

For example, you might see that Tanto Bar and Grill’s reviews are trending positively due to standout steak, but negative sentiment is rising around unclear credit card surcharges — a clear signal for the local team to act.

📍 How Reporting Helps You Make Better Decisions

Cloutly’s reporting isn’t just about numbers, it’s about actionable insights. Here’s how customers typically use it:

  • 📢 Marketing teams – Showcase review growth and sentiment in board reports or investor updates.
  • 🏪 Franchise operations – Identify which locations need support, coaching, or recognition.
  • 📈 Customer experience teams – Spot recurring issues (e.g. overcooked food, billing mistakes) before they become systemic problems
  • 🧠 Leadership – Track reputation health as a core KPI alongside revenue, retention, and NPS.

🛠️ Pro Tips for Getting the Most Out of Reporting

  • Automate it: Set up email delivery so insights land in your inbox weekly or monthly.
  • Use both layers: Start with the high-level C-Level report, then dive deeper into location reports when you need granular detail.
  • Share insights internally: Review reports are great for team meetings, board decks, and franchise reviews.
  • Act on trends: Pay close attention to sentiment and recurring themes — they’re often early signals of operational issues or new opportunities.

✅ Summary

Cloutly’s reporting features give you total visibility into your online reputation — from simple, automated snapshots to deep, strategic insights.

  • Use Settings → Notifications & Reporting for regular updates and quick performance checks.
  • Upgrade to Insights (Growth plan) to unlock executive-level analysis, sentiment trends, and franchise-ready location reporting.

With this data in hand, you’ll always know how customers feel, where to focus improvements, and how your reputation is contributing to real business growth.
